Terms of Service

These Terms of Service govern your access to and use of the RapidFlow platform, operated by RapidFlow (Pty) Ltd. By registering or using the Service you agree to these Terms.

1. The Service

RapidFlow is a cloud-based invoicing, quoting, and business management platform for South African tradespeople and small businesses, accessible via web browser and as a Progressive Web App.

2. Accounts and Registration

You must register to use the Service. You agree to provide accurate information, keep your password secure, and notify us immediately of any unauthorised access. Each account represents a single business. Users must be at least 18 years old.

3. Free Trial

New accounts receive a 30-day free trial with full Standard plan access. No credit card is required. At the end of the trial, your account reverts to the Free plan unless you subscribe.

4. Subscription Plans and Billing

We offer two plans:

• Free: Limited quotes and invoices per month, core features only, at no charge.
• Standard (R149/month): Unlimited quotes and invoices, job photos, receipt OCR, client portal, and full business dashboard.

Paid subscriptions are billed monthly in advance via Paystack in South African Rand (ZAR) inclusive of applicable VAT. Failed payments may result in suspension of paid features.

5. Cancellation and Refunds

You may cancel at any time from your account settings. Cancellation takes effect at the end of the current billing period. We do not offer partial-month refunds except where required by law.

6. Acceptable Use

You agree not to use the Service for unlawful purposes, upload malicious code, attempt unauthorised access to our systems, resell access without consent, or use automated scraping tools against the platform.

7. Your Data

You retain ownership of all data you create on the Service. By using the Service you grant us a limited licence to process and store your data solely to deliver the Service. We do not sell your data. Full details are in our Privacy Policy.

8. Intellectual Property

All software, designs, trademarks, and content on the RapidFlow platform are the exclusive property of RapidFlow (Pty) Ltd. Nothing in these Terms grants you any right to use our brand or intellectual property outside of the Service.

9. Uptime and Service Availability

We aim for high availability but do not guarantee uninterrupted access. We are not liable for losses resulting from downtime or service interruptions.

10. Limitation of Liability

To the maximum extent permitted by applicable South African law, RapidFlow (Pty) Ltd, its directors, employees, agents, and service providers shall not be liable for any loss or damage of any kind arising from or in connection with your use of, or inability to use, the Service, including but not limited to:

• Data loss or corruption — loss, corruption, or unauthorised access to your data, whether caused by system failure, third-party intrusion, cyberattack, or otherwise.
• Security incidents and data breaches — any actual or alleged unauthorised access to, disclosure, alteration, or destruction of your personal or business data, howsoever caused, including events arising from vulnerabilities in third-party infrastructure or software we rely on.
• Service interruptions — downtime, outages, errors, bugs, or degraded performance of the platform.
• Third-party actions — acts or omissions of third-party payment processors (including Paystack), cloud infrastructure providers, email delivery services, or any other sub-processors.
• Indirect or consequential loss — loss of revenue, loss of profits, loss of business opportunity, loss of goodwill, or any indirect, incidental, special, or consequential damages, even if we have been advised of the possibility of such damages.
• Reliance on platform output — any decisions made in reliance on quotes, invoices, statements, or other documents generated by the Service.

You use the Service entirely at your own risk. In all cases our maximum aggregate liability to you for any claim arising from or related to the Service shall not exceed the total fees you paid to us in the three (3) months immediately preceding the event giving rise to the claim. Where no fees were paid, our liability is limited to R100.00.

Nothing in these Terms excludes liability for fraud, wilful misconduct, or any liability that cannot lawfully be excluded under South African law.

11. Governing Law

These Terms are governed by the laws of the Republic of South Africa. Disputes are subject to the exclusive jurisdiction of South African courts.

12. Changes to These Terms

We may update these Terms and will notify registered users of material changes by email or in-app notice. Continued use constitutes acceptance of revised Terms.
